Permissions

Users of the system are provided different access permissions based on their role. There are two types of role – Outreach and Case Office. Any user can have both an Outreach role and a Case Office role.

In addition to Outreach and Case Office roles, a Domain Admin role also exists with the highest level of permissions. These users can perform operations for the Case Office and Outreach users, and make changes that affect all Contact Groups and Case Offices across an entire Domain.

Case Office Roles

Case Office roles define what a user can do specific to Case Work. This includes finding, creating, and updating Cases as well as Case Office Administrative tasks.

There are three permission levels for Case Work accounts:

  1. Office Admin
  2. Office Staff
  3. Office Basic

Office Admin

This user can manage any configurations related to their assigned Case Office, including:

  • Case Category management
  • Adding / removing staff to or from their Case Office
  • Creating new Case Work users (at any permission level)
  • Configuring Email settings
  • Managing Email templates
  • Managing Case intake templates
  • Setup and Manage Inbound Channels

Office Staff

This user can manage all of their Case Office’s cases, including cases marked as Confidential. However, they cannot do any of the Case Office administrative work listed above.

Office Basic

These users can only manage unassigned cases or cases that are specifically assigned to them. They are unable to view cases marked as Confidential.

Outreach Permissions

There are five different levels of outreach user. These are:

  1. Outreach Director
  2. Outreach Manager
  3. Outreach Staff
  4. Outreach Basic
  5. Data Entry

Outreach Director

Outreach Directors can manage their assigned master contact group as well perform all of the functions of users listed below.

Outreach Manager

Outreach Managers have the ability to create and manage contact groups in addition to the functions listed below.

Outreach Staff

Outreach Staff can manage contacts and activities, and can  create target criteria.

Outreach Basic

These users can only manage contacts and update outreach activities. They cannot merge contacts or create activities.

Data Entry

Data Entry users have the lowest level of permissions and are restricted to updating activities.

No Outreach

If you wish to disable outreach functions entirely for a system user, there is an option to select No Outreach as a role. This might make sense for users that are strictly involved in Case Work as an example.
